Embers Volleyball Club (“Embers,” “we,” “us,” or “our”) operates the website
embersvolleyballclub.com. This policy
explains what information we collect, how we use it, and the choices you have. It
covers our website, our online store, and the registration and communication tools
we use to run the club.

Because Embers serves youth athletes, much of the information we handle concerns
minors and is provided to us by a parent or legal guardian. We take that
responsibility seriously and describe our approach to it throughout this policy.

Who We Are

Embers Volleyball Club is a youth volleyball organization based in the South Bay
of Southern California. For any privacy question or request, use the contact details

Information We Collect

Information you give us directly

• Registration information — when a parent or guardian registers
  an athlete, we collect the parent’s or guardian’s name, contact details (email,
  phone, mailing address) and the athlete’s name and age group. Registration is handled
  through our partner platform, LeagueApps.
• Athlete information — for team rosters and for personalizing
  uniforms and kits, we collect an athlete’s first and last name and jersey number.
  We do not collect other personal details about athletes beyond what is needed to
  place them on a team and outfit them.
• Order information — when you purchase a team kit or other
  merchandise through our online store, we collect the information needed to fulfill
  your order, including name, contact details, shipping address, and the items and
  personalization you select.
• Payment information — card payments are processed by our
  payment provider, ShopAve (via Mentom Payments / NMI). Your full card details are
  entered directly with the payment processor and are not stored on our
  website. We receive only confirmation of payment and limited order details.

Information collected automatically

• Basic technical data — like most websites, our site and our
  hosting provider may collect standard technical information such as IP address,
  browser type, and pages visited, for security and to keep the site running properly.
• Cookies — we use a small number of cookies necessary for the
  website and store to function (for example, to keep items in your cart or to keep
  you logged in if you have an account). See “Cookies” below.

How We Use Your Information

We use the information we collect to:

• Register athletes and place them on teams;
• Communicate with parents and guardians about schedules, tryouts, practices,
  tournaments, and club news (through LeagueApps);
• Process and fulfill store orders, including personalized team kits;
• Provide customer support and respond to your questions;
• Keep our website and store secure and functioning;
• Meet our legal, accounting, and administrative obligations.

We do not sell your personal information, and we do not use it for third-party
advertising.

Who We Share Information With

We share information only with the service providers we rely on to run the club,
and only as needed for them to perform their service:

• LeagueApps — our registration, roster, scheduling, and
  communication platform.
• ShopAve / Mentom Payments / NMI — our payment processor for
  store purchases.
• Our website host and related technical providers — to operate
  and secure the website and store.

Each of these providers handles your information under their own privacy terms.
We may also disclose information if required by law, or to protect the rights,
safety, or property of the club, our members, or the public.

Cookies

Our website uses cookies that are necessary for it to work. These include cookies
that let the online store remember items in your cart and, if you create an account,
cookies that keep you logged in and remember your display preferences. If you leave
these functions unused, most necessary cookies simply are not set. You can control
or delete cookies through your browser settings, though some parts of the store may
not work correctly without them.

How Long We Keep Information

We keep personal information for as long as needed to run the club and provide our
services, and afterward only as long as necessary to meet legal, accounting, or
administrative requirements. Order records are retained as required for business and
tax purposes. Registration information is retained for the duration of an athlete’s
involvement with the club and a reasonable period afterward.

Your Rights and Choices

Depending on where you live, you may have rights over your personal information,
including the right to request a copy of the information we hold about you, to ask us
to correct it, or to ask us to delete it. California residents have specific rights
under the California Consumer Privacy Act (CCPA/CPRA), including the right to know
what personal information we collect and the right to request deletion. We do not
sell personal information.

To make any of these requests — including a request on behalf of your child — contact
us using the details below. We may need to verify your identity before acting on a
request, and some information may be exempt from deletion where we are required to
keep it.

Data Security

We use reasonable measures to protect the information we handle, and we rely on
established providers (LeagueApps and our payment processor) whose systems are built
to safeguard registration and payment data. No method of transmission or storage is
completely secure, but we work to protect your information and to limit what we
collect to what the club genuinely needs.

Embedded Content and Links

Our website may include embedded content (such as social media feeds) or links to
other websites. Those third-party sites and content behave as if you had visited
them directly and may collect information about you under their own privacy policies.
We are not responsible for the privacy practices of other websites.

Changes to This Policy

We may update this policy from time to time. When we do, we will revise the “Last
updated” date at the top of this page. Significant changes will be communicated
through our usual club channels.
